Comparison · ShelfLifePro vs Vyapar

Outgrown Vyapar?

Vyapar is brilliantly simple for a kirana that just needs GST-compliant billing and a stock list. Once you start caring about expiry, batch-level margin, near-expiry markdowns, or multi-store visibility, you'll hit a ceiling. ShelfLifePro is what most Vyapar owners upgrade to.

Receipt-focus with a basic stock list vs SKU + batch + expiry operations, AI alerts, and multi-store intelligence.

Is this page for you?

This comparison is for operators who are:

  • Started on Vyapar as a kirana / single-store retailer and now run 2-5 locations
  • Added perishables (dairy, bakery, pharma, FMCG) and need batch + expiry tracking
  • Losing visible money to near-expiry stock each month despite "tracking" it
  • Want WhatsApp alerts and the AI everyone keeps talking about — not just e-invoices
  • Starting to run reports where the answer depends on which batch got sold — and Vyapar can't tell you

The honest take

Where Vyapar fits, where it doesn't, and what we built ShelfLifePro to do differently.

Why Vyapar works so well at the start

Vyapar is the most successful example of ruthless simplicity in Indian retail software. The product made three brilliant bets: (1) most kirana owners don't need accounting software, they need a GST-compliant bill and a stock list, (2) the phone is the primary device, not a desktop, (3) the interface should look like a billing app, not an ERP.

For a single-store general-merchandise retailer turning over INR 50 lakh - INR 2 crore a year, this is exactly right. Vyapar is cheap, fast, and doesn't require training. It's one of the best onboarding experiences in Indian B2B SaaS, period.

Where Vyapar's design choices start hurting

The simplicity that makes Vyapar great at receipt-level billing is exactly what makes it thin on SKU-level operations. Batch tracking exists as a text field, not a first-class dimension. "Expiry" on a product is a date, not an operational alert. There's no FEFO at POS — cashier just picks whichever batch is physically convenient. There's no automatic near-expiry alert. There's no engine that calculates a markdown per batch based on sell-through velocity.

Multi-store on Vyapar is achievable but rudimentary. You can sync between devices but you don't get chain-level analytics, inter-store transfer matching, or "move this to the other store because they sell paneer 2x faster" type intelligence. That's an architectural ceiling, not a missing feature.

The report layer is also deliberately shallow. Vyapar will tell you what you sold and what's in stock. It won't tell you which batch made you the most money, which supplier's expiry return window is closing, or which SKU has been losing margin for six weeks. For a retailer turning over INR 5 crore+ with perishable categories, those blindspots cost real money each month.

Where ShelfLifePro picks up the baton

ShelfLifePro is designed for the next phase of operational maturity. Batch + expiry are first-class. FEFO is enforced at POS. Near-expiry stock gets handled for you — discount suggested, deal copy ready, recovery tracked. Your 6 AM priority read lands on WhatsApp before you open. Receiving collapses from 45 minutes of typing to a photo and a tap.

Pricing-wise, ShelfLifePro's Starter plan at INR 899/month is comparable to Vyapar Pro on a year basis — and Pro Growth at INR 2,699 gets you the full retail + wholesale + OCR + GSTR + multi-store stack. For a serious perishable retailer, the ROI math works in a single avoided waste cycle.

When you should absolutely stay on Vyapar

If you're a single-store kirana with non-perishable inventory, and your primary job-to-be-done is "give me a GST bill fast," Vyapar is perfect. Don't upgrade for the sake of it.

We're not the right fit for: a pan shop that wants a bill-printing app, a small services business with minimal inventory, or a single-store grocery where expiry losses are not a concern you track. Stay on Vyapar for as long as it fits — and reach out when the operation outgrows it.

Frequently asked questions

If your question isn't here, book a 15-min call — we'll answer live.

Can I migrate my Vyapar data to ShelfLifePro?

Yes. Export products, customers, suppliers, and opening stock from Vyapar as CSV. We import and map the fields, preserving your GST categories and HSN codes. Historical invoices are imported for reference but you start fresh transactions on ShelfLifePro.

Is ShelfLifePro as easy to use as Vyapar?

Day one learning curve is similar — both are mobile-first. ShelfLifePro has more surface area (because it does more — batch ops, multi-store, OCR, AI), so there's a richer feature set to explore. Our onboarding team walks you through it in a 30-minute video call.

Do you have a free plan like Vyapar?

No perpetual free plan, but the 14-day free trial includes every feature — all AI modules, multi-store, OCR, everything. No credit card required, and there's no "trial version vs full version" gap.

I bill mostly retail receipts — will ShelfLifePro feel heavier?

At the POS, no — it's a 3-tap billing flow with barcode scanning and FEFO auto-pick. The "heavier" surface area only shows up when you intentionally go into back-office areas (reports, AI briefings, OCR receiving). Cashiers won't see any of that.

What about e-way bills and e-invoicing?

Both included. ShelfLifePro generates e-way bills and IRN-compliant e-invoices for businesses over the turnover threshold. GSTR-1 and GSTR-3B reports are one click.
