The delivery bay: batch and expiry on every case

The delivery bay is where the data either enters your system or gets lost forever. A driver drops fourteen cases of mixed produce, two pallets of dairy, and a box of proteins. Your receiver signs the manifest, stacks everything on a trolley, and moves on. No batch number recorded. No use-by date logged. That's the moment kitchen inventory management software is supposed to prevent.

Good commercial kitchen inventory software lets a receiver scan a supplier barcode — or type a short code — and capture the lot number, delivery date, and expiry date against that purchase order before the case leaves the dock. Some systems pull from the supplier's advance shipping notice automatically. Either way, the rule is simple: if it isn't recorded at receiving, you're guessing for the rest of the week.

The walk-in and the freezer: temperature is stock

A walk-in cooler running two degrees warm doesn't just fail a health inspection — it silently shortens the usable life of everything on those shelves. That's why a kitchen inventory system worth using treats temperature as a stock attribute, not a separate facilities concern.

Some platforms integrate with data loggers (USB or Wi-Fi probes) and import temperature readings directly into the inventory record. When a cooler excursion is flagged, the system can surface which batches were affected and for how long. That gives a chef actual information: "these two cases of salmon sat at an elevated temperature for six hours — use them today or discard." Without that link, the decision is a guess.

Issuing to the line: FEFO at the requisition

Picture a typical prep shift. A cook needs three kilograms of diced chicken breast. They walk to the walk-in, grab the nearest container, and head back to the board. The nearest container isn't always the oldest one. That's how a batch gets buried and expires behind a newer delivery.

A kitchen inventory management system closes that gap at the requisition stage. When a cook (or sous chef) raises a digital requisition — "3 kg chicken breast for lunch service" — the system allocates from the batch with the earliest expiry date first. The picker sees exactly which shelf location to pull from. FEFO becomes a workflow instruction, not a training aspiration.

This also creates an audit trail. Every requisition is timestamped, linked to a batch, and recorded against a cost centre or menu item. That data feeds the par-level engine described in the next section.

Par levels: ordering from what the line actually used

Par levels set from gut feel drift out of date quickly. A kitchen that sets chicken breast par at ten kilograms because "that's what we've always ordered" will overstock on slow weeks and scramble on busy ones.

Restaurant inventory software with a par engine works differently. It calculates par from actual consumption — the sum of requisitions issued over a rolling period — and adjusts for day-of-week patterns. Say you run a Friday dinner service that uses double the midweek volume: the system sets a higher Friday par automatically and flags a suggested purchase order on Thursday afternoon.

The key input is the requisition data from the previous section. Garbage in, garbage out: if cooks bypass the requisition step and grab stock informally, the par engine works from an incomplete picture. That's a training and culture problem, not a software problem — but it's worth knowing before you buy.

The bin: wastage logged with a reason

Every kitchen has a bin. The question is whether anything useful gets recorded when food goes into it.

Wastage logging in a kitchen inventory management system is a short form: item, quantity, batch (if known), and reason. The reason codes matter more than operators expect. "Expired," "over-prep," "temperature excursion," "trim," and "spoiled on shelf" point to completely different fixes. Expired stock in the bin points to a receiving or FEFO problem. Over-prep points to a par or forecasting problem. Trim is often unavoidable but can be benchmarked against yield standards.

At the end of a service or a week, the waste log rolls up into a shrinkage report by category. A chef can see that dairy waste spiked on Tuesday, cross-reference it against the temperature log, and trace it to a cooler door left ajar during a busy lunch service. That's the loop: delivery bay data, temperature data, requisition data, and waste data all connected.

Five brands, one storeroom (cloud kitchens)

Suppose you operate three brands — a burger concept, a salads concept, and a wings concept — sharing the same walk-in. Chicken thighs are used by all three. Who consumed what, and how does the cost get allocated?

What to ask a vendor

Before you sign up for any kitchen inventory management software, run through these questions:

  • Receiving workflow: Can staff capture lot numbers and expiry dates at the dock, on a mobile device, without going back to a desktop?
  • Logger integration: Does the system import temperature data from your existing probes, or does it require proprietary hardware?
  • FEFO at requisition: Does the system enforce first-expiry-first-out when allocating stock to a requisition, or does it just display expiry dates?
  • Par calculation method: Does par update from actual requisition consumption, or is it a manually set field?
  • Waste reason codes: Are reason codes customisable, and do they feed into a shrinkage report by category?
  • Multi-brand support: If you run more than one concept, can the system allocate consumption and cost per brand from a shared stock pool?
  • Supplier integration: Can the system pull purchase order data or advance shipping notices from your main suppliers automatically?

The answers tell you whether a platform is built for a commercial kitchen's actual workflow or whether it's a generic stock counter with a food-service skin painted on.
